The first screen and what it counts

Signing in lands everyone at the same address, where three different screens live. Which one you get is decided by what your account may open, not by your job title: whoever may view payments gets the school overview, everyone else gets the teaching day, and a staff member who has switched to the family view gets the family portal. The three coloured tiles under the numbers only open other pages: “Register student”, “Scan attendance”, “Renewals”.

What the tiles count

• “Active students”: children on a live, active subscription. Not everyone on a roster, and not a subscription still pending. The count of new profiles beneath it starts from the 1st of the month, so it restarts each month.
• “Medical attention”: children whose newest certificate on file has expired or expires within 30 days. A child who never handed one in is not counted at all, and those 30 days are fixed here: the school's own warning window moves the coach's list and the reminder messages, not this tile.
• “Outstanding balances”: how many students owe anything, with the total money beneath. It covers active, frozen and pending subscriptions, spots held on a priced event and shop items taken on account, and never a subscription that has already ended.
• “Active freezes”: holds nobody has lifted and whose end date has not passed, open-ended ones included. It is the only one of the four you can click.
• “Monthly revenue”: payments marked as received, so cash written down at the desk counts and a waived balance never does. Its comparison line measures this month so far against all of last month, so it looks worst on the 2nd and is fair only on the last day.

What the worklist leaves out

“Payments needing attention” has three columns: “Failed & overdue”, “Open · no pay date” and “Upcoming cash to collect”. The number on each is the true total while at most 12 rows are drawn beneath it. Frozen subscriptions are kept out of the rows on purpose although their money still counts in the balances tile, and a subscription that has ended is in neither. “Attending without a subscription” is the opposite problem: children on a roster no subscription covers, who owe nothing because nothing was ever sold to them, which is exactly why no money screen finds them.

The teaching day

Anyone who cannot open payments gets the teaching day instead, narrowed to their own classes. “Today's classes” follows the school's timezone rather than the server's, and reads “Not marked yet” until somebody on it is marked. “Registers to catch up on” looks seven days back, and only a mark made by a person clears a day, so a register the overnight job filled with absences stays on the list. “Needs attention” gathers students at or past the school's consecutive-absence limit and certificates about to expire, but only while they are still in date: the day one expires the child drops off this list, while the tile above goes on counting them.
