Run an event and get families registered

Creating a one-off event, how a spot is held before the money arrives, and what happens to a spot nobody ever pays for.

An event is a one-off outside the weekly timetable: a trip, a workshop, a photoshoot, a private lesson or a make-up class. It stands on its own, so paying for one never touches a family's package or subscription, and creating one messages nobody. Only an admin can run one. A coach can open an event and read its attendee list but change nothing, and a front-desk account sees the sidebar row and an error where the list should be.

Creating one

  1. Open Events and press New event.
  2. Pick the type, then fill in Title and Date & time. Those two are the only required fields.
  3. Set Capacity. The box opens on 0 and 0 means unlimited (0 = unlimited) — including for a private lesson, which is not capped at one place for you. Type the number of places you actually have.
  4. Set Price (₪). 0 means free (0 = free), and a free registration is confirmed the moment a family presses register.
  5. Add up to three reminders under Reminders, or leave the box empty and read the note below before you assume that means silence.
  6. Press Create event.

Inviting and registering

The link behind Copy invite link is not a public sign-up page. It opens the school's own events screen with your event pinned at the top, so anyone who follows it without an account is sent to the login page first: it is for families who already have a login. A parent then registers a child with Register, and on a priced event the card checkout opens straight away, with Pay now to reopen it later. At the desk, open Attendees on the event card and use Register a student.

The spot nobody paid for

Registering on a priced event does not wait for the money. The child takes a place immediately and sits at awaiting payment, and that place counts against capacity exactly like a paid one, so an event can read as full while half of it is unpaid. Nothing ever expires it: the spot keeps its place, still receives the pre-event reminder, and keeps appearing in Payments needing attention under Open · no pay date with no due date, long after the event has been and gone. Only a settled payment moves it, by card or by Collect payment at the desk.
